Mormac Packaging is a trading name of Figure Eight Industries (WA) Pty Ltd, ABN 29 693 494 469 (“Mormac”, “we”, “us”). This policy explains what personal information we collect, why we collect it, who we share it with, and how you can reach us about it. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

When you contact us. If you use the enquiry form on this website, email us or telephone us, we collect the details you give us — typically your name, business name, email address, telephone number and whatever you tell us about what you need.

When we supply goods or services. We collect the information needed to quote, supply, deliver, install, service and invoice: contact details, delivery addresses, purchase orders, site details, and records of the equipment we have supplied or worked on.

When we service your equipment. Our service reporting system is how a technician records a job. A technician sends us photographs of the equipment and a spoken or written description of the work, usually over WhatsApp. Those photographs and recordings become part of the service record for that machine.

The subject of a service record is equipment, not people. Technicians are instructed not to photograph people, and our service reports are produced under rules that specifically exclude remarks about individuals. A photograph of a workplace can nonetheless incidentally capture a person, and if that happens the image is treated as personal information under this policy.

When you visit this website. Our website and its hosting provider may record standard technical information such as IP address, browser type and the pages visited. We do not use this to identify individual visitors.

How we use it

  • To answer enquiries and prepare quotations
  • To supply, deliver, install and service equipment and consumables
  • To produce and send service reports, and to keep an accurate history for each machine
  • To invoice, and to keep the business records the law requires us to keep
  • To contact you about an order, a service visit or a safety matter affecting your equipment

We do not sell personal information. We do not trade, rent or exchange it. We do not use the information in service records for advertising.

Automated processing in our service reporting

We are open about this because it is unusual enough to be worth stating plainly. When a technician submits a service job, the material is processed automatically in order to produce a draft report:

  • Voice recordings are converted to text by a speech-to-text service.
  • The text and the photographs are read by an artificial intelligence service which drafts the service report and raises questions where the record is unclear or incomplete.
  • A person reviews every report before it is issued. No service report is sent to a customer without being checked by the attending technician and by Mormac. The automated step produces a draft; it does not make decisions about you, and it is not used for any form of profiling.

Who we share it with

We disclose personal information only to the people and service providers who need it to do the things described above:

  • Our technicians and service contractors, so they can carry out and record the work. Contractors receive the customer-facing service report only.
  • Suppliers and freight carriers, where delivery or a manufacturer warranty claim requires it.
  • Our service providers, who host and process data on our behalf: Microsoft (cloud hosting and document storage), Meta Platforms (WhatsApp messaging), Deepgram (speech-to-text) and Anthropic (the artificial intelligence service used to draft reports).
  • Our professional advisers, and anyone we are required to disclose to by law.

Overseas disclosure. Our document storage and the cloud infrastructure that runs our service reporting are hosted in Australia. Some of the service providers listed above are located in, or may process data in, the United States. By using our services you consent to that disclosure. We take reasonable steps to ensure those providers handle personal information consistently with the Australian Privacy Principles.

How we hold it

Personal information is held in our business systems and in cloud services operated by the providers named above, protected by access controls and accounts limited to the people who need them. No method of transmission or storage is completely secure, but we take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure.

We keep records for as long as we need them for the purposes described above and for as long as we are required to keep them by law — business and tax records are generally kept for a minimum of seven years. Service records, including photographs, are kept for the working life of the equipment so that its service history remains intact. When information is no longer needed and we are not required to keep it, we take reasonable steps to destroy it or de-identify it.

Accessing and correcting your information, and making a complaint

You may ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong. Contact us using the details below. We will respond within a reasonable period.
